Job Description

We are looking for a highly organized and customer-focused Order Processing Specialist to ensure accurate and efficient order fulfillment in a fast-paced manufacturing environment. You will manage all aspects of customer orders, coordinate with teams across departments, and serve as the primary contact for customers, distributors, and sales representatives. The ideal candidate is detail-oriented, proactive, and thrives in dynamic environments while maintaining high service standards.

Key Responsibilities:

  • Order Processing: Review, create, and process customer orders with precision, including priority and rush orders.
  • Quality Assurance: Verify orders, contracts, and purchase details for accuracy, compliance, and completeness; promptly resolve discrepancies.
  • Data Entry: Enter and maintain sales orders in the ERP system, ensuring correctness in part numbers, pricing, terms, and delivery timelines.
  • Cross-Team Collaboration: Work with Production, Finance, Shipping, Quality, and Technical Support teams to ensure smooth order fulfillment.
  • Customer Support: Act as the go-to contact for distributors, sales representatives, and customers, providing timely updates and resolving inquiries.
  • Documentation: Manage distributor agreements and prepare technical documentation for vendor approvals and large proposals.
  • Issue Resolution: Identify and resolve order-related issues to avoid delays and improve customer experience.
  • Recordkeeping: Maintain organized, accurate files and records in compliance with company policies.
  • Improvement Initiatives: Support continuous process enhancements and participate in projects to improve overall operational efficiency.

Qualifications:

  • Experience: 1-2 years in order processing, B2B customer service, or a similar administrative role.
  • Attention to Detail: Ability to process high volumes of orders with exceptional accuracy and minimal errors.
  • Technical Skills: Proficiency in ERP systems and Microsoft Office Suite (Excel, Word, Outlook).
  • Communication: Strong verbal and written skills, with experience interacting with internal teams and external stakeholders.
  • Multitasking: Capable of managing multiple deadlines and priorities in a fast-changing environment.
  • Problem-Solving: Demonstrated ability to resolve issues collaboratively across departments.

Preferred Skills:

  • Knowledge of order processing systems, ERP platforms, and manufacturing processes.
  • Strong focus on detail, data accuracy, and quality standards.
  • Proven ability to balance tasks effectively under pressure.
  • Experience in cross-functional collaboration and process improvements.

Working Conditions:
This position operates primarily in a climate-controlled office within a manufacturing facility. Occasional visits to the production floor or warehouse may be required. Typical physical demands include:

  • Prolonged sitting, frequent computer use, and occasional lifting (up to 15 lbs).
  • Periodic walking and interaction with production and shipping teams.
